Terms and Conditions of the Oil Palm Sector Congress
This document contains the Terms and Conditions that govern registration, participation, and access to the III Mexican Palm Congress, organized by the Mexican Oil Palm Federation, to inform you of its obligations as a service provider, as well as those of the users of said services. The following is hereby made known
The MEXICAN OIL PALM FEDERATION is a duly constituted Civil Association under the laws of the United Mexican States, with address located at Ceiba Street, Number 104, Lot 1, Ranchería Coronel Traconis, C.P. 86280, Centro, Tabasco, Mexico.
Event Overview.
The 3rd Mexican Palm Congress will be held on June 4th and 5th, 2025 at the Holiday Inn Airport Hotel in Villahermosa, Tabasco. FEMEXPALMA reserves the right to make changes to the agenda, speakers, or activities due to unforeseen circumstances or logistical issues, notifying attendees in a timely manner through official channels.
Registration and Access.
Access to the 3rd Mexican Palm Congress is subject to payment of the corresponding registration fee, and in the case of exhibitors, to payment for the contracted commercial space. Access to the 3rd Mexican Palm Congress requires prior payment of the registration fee. For exhibitors, admission is subject to payment for the contracted commercial space.
Access grants the right to:
- Access to scheduled conferences.
- Access to the commercial área.
- Event souvenir kit.
- Lunch during the two days of the Congress.
The ticket does NOT include: Accommodation expenses, air or ground transportation, or additional consumption inside or outside the host hotel.
Registration is personal and non-transferable. The Organizing Committee may request identification to validate access.
The Organizing Committee reserves the right to limit capacity for safety or logistical reasons.
Fees and Payment Methods.
- Pricing Structure: Prices are subject to the validity dates (Early Bird until April 1st and Regular Rate from April 2nd of the current year).
- Payment Processing: All credit and debit card payments are processed through the secure Openpay platform. FEMEXPALMA does not store bank details.

Currency: Due to technical configurations of the payment gateway, all payments will be processed in Mexican pesos (MXN).
International participants can make payments by entering their card details; currency conversion, fees, and any additional charges will be determined and applied exclusively by the card-issuing bank, according to the current exchange rate and its own policies.
- Interest-Free Installments: This option applies exclusively to credit cards issued by banking institutions within Mexico.
Payments and billing.
- Transactions are carried out through Openpay.
- Registration will be considered confirmed only when payment has been credited.
- Prices are subject to tax in accordance with applicable legislation.
- Billing will be done by the participant and according to the data provided at the time of purchase; it is the participant's responsibility to verify the accuracy of said information.
Cancellations, changes and refunds.
- Cancellation requests from participants must be made in writing to the official channels of the Organizing Committee and must be made 30 days before the event; otherwise, a penalty of 30% of the registration fee will be applied.
- The Organizing Committee reserves the right to modify dates, times, venue, program or speakers for justified reasons, without this generating the right to a refund.
- In the event of total cancellation of the event due to force majeure or unforeseen circumstances, including, but not limited to: natural phenomena (earthquakes, floods), pandemics, acts of war, civil unrest, or government measures that make it impossible to hold the event, the organizing committee will inform participants of the applicable refund or rescheduling policy.
- In the event of cancellation as an exhibitor in the commercial area, the exhibitor must adhere to the agreements, terms, and penalties established in the previously signed contract for the commercial booth. In the event of cancellation, the exhibitor will be subject to the conditions, deadlines, and penalties stipulated in the contract and the commercial area regulations previously signed.
Program and speakers.
- The program, syllabus, and speakers may be subject to change without prior notice.
- The opinions expressed by the speakers are their sole responsibility and do not necessarily represent the position of the Mexican Oil Palm Federation.
Commercial area and exhibitors.
- Access to the commercial area is included in the registration.
- The Organizing Committee is not responsible for transactions, agreements, or negotiations carried out between participants and exhibitors.
- The use of promotional material must comply with the agreements and terms of the exhibitors' regulations signed at the time of contracting the commercial stand.
Souvenir and food kit.
- The included lunch covers both days of the event, at the designated times and areas.
- Participants are responsible for informing the organizers in advance of any dietary restrictions. The organizing committee will make reasonable efforts to accommodate these requests, but availability cannot be guaranteed.
Behavior and safety.
- Participants must maintain respectful conduct towards attendees, speakers, exhibitors, and staff.
- Failure to comply with safety regulations, inappropriate conduct, or illegal activities may result in expulsion from the event without a refund.
- The Organizer is not responsible for lost or damaged personal belongings.
Intellectual property and use of image.
- The content of the III Mexican Palm Congress (presentations, materials, recordings) is protected by copyright. Its reproduction without authorization is prohibited.
- The Participant authorizes the use of their image, voice and/or name in photographs and videos of the event for promotional and dissemination purposes, without additional compensation.
Personal data protection.
- The personal data provided will be processed in accordance with current data protection legislation.
- The data will be used for event management, related communication, and administrative purposes.
- Online payments are processed through the Openpay platform. The organization does not store, retain, or have access to the bank card details used by participants, as this information is managed directly by the payment platform in accordance with its own security standards and privacy policies.
Responsibility.
- The Organizing Committee will not be liable for indirect damages, economic losses or lost profits arising from participation in the evento.
- The Organizing Committee's liability is limited to the amount actually paid for registration, as permitted by law.
Force Majeure.
The Organizing Committee will not be liable for failure to perform its obligations due to unforeseen circumstances or force majeure, including, but not limited to, natural disasters, pandemics, government regulations, or service failures.
Institutional position.
The Mexican Oil Palm Federation and the III Mexican Oil Palm Congress are not linked or affiliated with any political party, ideology, or government entity.
Safety guidelines.
The organizers will comply with civil protection measures and will follow at all times the instructions and safety guidelines established by the event venue, which is responsible for the infrastructure and physical security conditions of the place.
Applicable law and jurisdiction.
These Terms and Conditions are governed by the applicable laws of the venue where the Congress is held. For any dispute, the parties submit to the jurisdiction of the competent courts of that venue.
Acceptance.
Registration and participation in the III Mexican Palm Congress implies full acceptance of these Terms and Conditions.
